Workspaces Overview
Understand the multi-workspace concept in FileRelay and how workspaces provide isolation for different environments.
Workspaces Overview
Workspaces are the top-level organizational unit in FileRelay. They provide complete isolation between different environments, ensuring that sources, destinations, connections, team members, and documents are fully separated.
Why Workspaces?
Most SAP landscapes have multiple systems -- development, quality assurance, staging, and production. Each system has its own document flow requirements, and you need clear separation between them. Workspaces give you that separation within a single FileRelay deployment.
Common workspace configurations:
| Workspace | Purpose |
|---|---|
| Development | Testing new connections and routing rules |
| QA / Staging | Validating configuration before production |
| Production | Live document archiving for business operations |
You might also use workspaces to separate different SAP systems entirely -- for example, one workspace for your ECC system and another for S/4HANA.
Workspace Isolation
Everything in FileRelay is scoped to a workspace. This means:
- Sources belong to a single workspace. A repository ID is unique within a workspace.
- Destinations (connectors) are configured per workspace. An S3 bucket in your production workspace is completely independent from one in development.
- Connections link sources to destinations within the same workspace. Cross-workspace connections are not possible.
- Team members are invited per workspace. A user can have admin access in development but only viewer access in production.
- Documents are tracked per workspace. The documents dashboard shows only documents for the current workspace.
- API keys are scoped to a workspace. A key created in production cannot access development data.
- Usage and audit data are tracked per workspace; aggregated counters are also available at the deployment level for capacity planning.
The Workspace Switcher
The FileRelay dashboard includes a workspace switcher in the top navigation bar that lets you move between your workspaces quickly. Your current workspace is always displayed, and all dashboard views reflect the selected workspace.

When you switch workspaces, the entire dashboard context changes -- the sidebar counts, the documents list, the sources and destinations pages all update to show data for the newly selected workspace.
Workspace Limits
There is no hard cap on workspaces per deployment — practical limits are governed by your deployment's licensed scope and resources. Most customers map one workspace per SAP system or environment (dev / QA / prod).
Getting Started
Your first workspace is created the first time you sign in to FileRelay. Your admin (Self-hosted) or the FileRelay team (Managed on-prem / FileRelay-hosted) provisions the deployment, gives you the URL, and the dashboard prompts you to create your first workspace on first sign-in.
From there, you can add additional workspaces as needed.
